Real Estate Client Loyalty System: What's the time commitment?

"How much time does it take?"

The first 2-3 times Cari and I did our Forever Clients workshop, someone on Zoom would inevitably ask that question. We'd reply with something along the lines of, "It takes a bit more time at the start, just like anything new. But once you get your system up and running, the time commitment goes way down."

I wasn't happy with that answer, so back in July, I asked the whole team (Cari, me, and Lisa - Cari's admin) to track every minute spent on our system that month.

The giveaway was 10 BBQ sauce gift boxes from a popular local company that does sauces and spices -- a very typical monthly giveaway for us.

Here's what we did:

  • internal discussions to confirm plan/offer

  • communicate with the sauce/spice company and buy the product

  • gift wrap each box

  • preview the offer in our private clients-only Facebook group

  • write and send the email offer out to our forever clients

  • notify the members who replied quickly enough

  • hold our 2-hour pickup day at Cari's office for the 10 recipients

I guess that sounds like a lot, but check this out. Here's how much time we spent on it collectively:

4 hours, 44 minutes total

I spent the most time: 2:30. Lisa was 2:10, and Cari was 2:14. (Since some of our time was overlapping, the individual times add up to more than the team time. Cari and I are both at the office for pickup day, for example.)

Even I was surprised. In my mind, I figured we spend about 8-10 hours per month. But this was a pretty normal month, so I was apparently overestimating.

So now when we do our next workshop, we'll have some concrete numbers to share about the work that goes into a monthly offer and the time involved.
